Refunds and cancellations
Rules for deposits, session changes, and refunds on consulting engagements — not product shipments.
Eligibility
Fees cover professional consulting time and written materials prepared for your engagement. Refund eligibility depends on how much work has started and how much notice you give before a scheduled session.
Timeframe
Cancellation requests must be sent by email to hello@virtucloudai.digital. We confirm receipt within two business days.
Full refund
If you cancel before we begin document review and at least 48 hours before the first scheduled session, you receive a full refund of amounts paid for that engagement.
Partial refund
If review work has started but no live session has occurred, we may refund the unused session portion minus time already spent preparing notes, calculated at the agreed engagement rate and confirmed in writing.
Non-refundable items
- Completed live sessions (including rehearsals already held).
- Written briefs or annotated contract notes already delivered to you.
- Deposits on rush engagements once review has begun within an agreed 48-hour window.
Refund process
Email the engagement reference, reason for the request, and payment date. We confirm the refundable amount before processing.
Processing time and method
Approved refunds are returned via the original payment method within 14 business days where the payment provider allows.
Cancellation and rescheduling
You may reschedule a live session once at no charge with at least 24 hours’ notice. Later changes may forfeit that session slot without refund of the session fee. We may reschedule for illness or connectivity failure and will offer a new slot promptly.
Deposits
Multi-session packages may require a deposit to reserve dates. The deposit is applied to the final invoice. It is refundable under the full-refund rule above if work has not started.
No-shows
If you miss a scheduled session without notice, that session is charged and not refunded. Remaining package sessions stay available until the agreed package end date.
Work already started
Once we have opened your documents and begun written analysis, fees for that analysis phase are due even if you later pause the negotiation.
Exceptions
If we cancel an engagement for reasons on our side and cannot offer a suitable alternative date, you receive a full refund of amounts paid for undelivered work. Statutory consumer rights under German law remain unaffected where they apply.
